Financial Aid Glossary

Understanding how financial aid works can feel complex. We help break it down so you understand your financial options. Here are some common definitions that you may see when going through the application process. Gift aid is a type of aid that does not require repayment unless you withdraw or have an overpayment. Financial aid options that are gift aid will be noted throughout.

Funds credited to your account and any cash remaining after paid institutional charges will be promptly disbursed to you via a paper check, or by direct deposit to your bank if set up by you in your MyButlerCC mobile app or the My.ButlerCC.edu website app. Login and use the MyAccount tile. All tuition, fees, books, and residence hall fees paid with your financial aid are through the business office.

Federal regulations do not allow us to pay for audit classes.

College Financing Plan

To access your personal Principles of Excellence Shopping Sheet consumer tool specific to Butler within your MyButlerCC mobile app or the My.ButlerCC.edu website app - Financial Aid tile. Login with your Butler credentials then select the College Financing Plan tab and the 2024-2025 aid.

Federal Pell Grant

This is the basis of all financial aid and is a form of gift aid. Pell offers are listed on the financial aid award letter and in your MyButlerCC mobile app or the My.ButlerCC.edu website app. Financial Aid is based on full-time enrollment of 12 hours or more per semester and will be adjusted for three-quarter time (9-11 hours; half-time (6-8 hours); less-than half-time (less than 6 hours), or based on a PACE Appeal. Once Pell funds pay, no additional Pell funds for increased enrollment will occur. You can only receive Pell funds at one college during each enrollment term. 

Federal Pell Grants qualify as gift aid.

Federal SEOG

Federal Supplemental Education Opportunity Grant (SEOG) is an additional grant for Pell Grant eligible students made through an allocation of federal money to Butler. SEOG is a campus-based program and offers are limited. Apply early.

Federal Direct Loans

Federal Direct Loans required repayment. Students are not required to accept student loans and are encouraged to accept only what is necessary. Subsidized Loans - Need-based loans with no interest until student begins repayment. Unsubsidized Loans - Non-need-based loans with interest accruing from 1st disbursement of loan. Both loan types have the same interest rate and no payment due when the student is enrolled in a minimum of 6 credit hours per semester. Loan offers are listed on the financial aid award letter, in the MyButlerCC mobile app or the My.ButlerCC.edu website app via the Financial Aid tile, Award Offer tab, and are based on full-time enrollment each semester and may be adjusted based on a lower CPOS enrollment status or based on a PACE appeal. You must be enrolled in at least 6 credit hours each semester to receive a loan.

Federal Work Study

Federal Work-Study (FWS) is a program in which the student is eligible for employment on campus as part of meeting the cost of education. If this is included in your offered package, and you accept it, please contact the Financial Aid Office for FWS information. Accepting FWS does not guarantee a job on campus. If you are not offered FWS, you can contact Butler Financial Aid for eligibility and availability information.

Iraq and Afghanistan Service Grant

The Federal IASG Grant is a grant offered to undergraduate dependents of deceased veterans who died because of a military service in Iraq or Afghanistan after September 11, 2001. For more information, go to: https://studentaid.gov/understand-aid/types/grants/iraq-afghanistan-service/

Institutional Scholarships

Activity, Val/Sal, Academic Excellence, and Athletic scholarship money is credited toward tuition and books. The scholarship does not cover the fee portion of tuition charges. The scholarship amount is a direct offset of tuition charges. There is no cash value to these scholarships. Deans, Presidential, and Foundation scholarship are credited amounts to your account and the actual amount appears on your financial aid offer letter.

Kansas Promise Scholarship

The Kansas Promise Scholarship is a state-funded program that helps cover the cost of attendance for students selecting certain programs. Deadlines drive the application and awards process and dollars are awarded on a first-come, first-served basis. This program funds remaining costs of attendance after all other scholarships and grants have been applied.

Purchasing Books

Using Federal Student Aid - A minimum of 10 days prior to the start of each semester, students can purchase books at the Butler Bookstore using their Federal financial aid. Financial Aid must be offered and authorized and create a credit balance on the student's account for the semester before the student can purchase books using their financial aid.

Using Butler Book Scholarships - A week prior to the start of each semester students may pick up their scholarship books from the Butler Bookstore, this must be done in person.

Using Third Party Billing or Outside Scholarships - Students who have been offered scholarships from an outside entity for books must first go to the Accounts Receivable office at El Dorado or Andover to get a paper book voucher.

Satisfactory Academic Progress (SAP)

Students must meet Satisfactory Academic Progress standards in order to be eligible for Federal Financial Aid. A copy of Butler's SAP policy is included with the financial aid offer letter and can be found at https://documents.butlercc.edu/fin_aid/parts/1sap.pdf. Satisfactory academic progress is determined at the time the student applies for financial aid, and for all applicants at the end of each formal evaluation period; Fall, Spring, and Summer.
